West Deptford Band Parents General Meeting 8-4-08 · Meeting was called to order at 8:01 pm with the pledge of allegiance. · Meeting minutes were approved by Shannon and Darlene. o The minutes were emailed out to the parents since the web site is being “attacked” again. Mr. Kershaw will investigate. · Treasurer’s report was submitted by Rose Rossiter. · Fund Raisers o Fund raisers are not mandatory. You may do any or none of the fund raisers. o A portion of the money raised by your band kids will be put into a student account that can be used as credits toward band camp, the spring trip, marching band shoes etc. o There are 2 fund raisers going on currently. § The Ads for the Cavalcade book – need ads by the end of band camp. New this year - Shout Outs for $1. You can give your band kid or directors a shout out in the ad book. § Popcorn fund raiser – popcorn can be ordered at any time. It will be on going. · T-Shirt order forms o Anyone can order a t-shirt. o T-shirt have the theme for the season and dates of the shows. o We would like to have the kids get a shirt. It is black and they can wear it under their uniforms. It also makes the band look uniform before and after they compete. o Order forms are in a stack at Oakview. · Day Camp o Day Camp will be at Oakview from 3 pm to 9 pm during the week of 8/11/08. o Make sure the kids have lots of water and a snack/meal that doesn’t melt (no chocolate). o Make sure they eat and drink properly throughout the entire season. o From here on out, this is a physical “sport”. Lots of marching, rehearsing, etc. o Band Camp – at Ramblewood – August 17th through August 23rd · Report time on Sunday August 17th for the kids is 10 am. Departure time is 11:30. Please be there at 10 am for bag check and loading everything. · Tuesday, August 19th, the parents will go to the camp and serve the band lunch. · There are sign-up sheets for food for Tuesday. If you cannot go with us, you can drop off food donations at 9:30 am on Tuesday morning or contact any of the board members and we can arrange to pick it up from you. · If you want your containers or serving utensils back, please make sure to label them. · There are tins available to put food in for camp. · The kid come back home on Thursday, August 22nd at 6 pm. Be at the high school to welcome them home. · Kids will need to have a medical release form etc prior to leaving for band camp. They will be handed out at the next band practice. · Mr. Kershaw will update the website to have the permission slip on it. · Please add meds to the medical release form. The kids will be able to administer the meds themselves. The staff will check to insure everyone takes their meds. o Parent involvement § Committee sign-up forms are being sent around. Please sign up for something if you are able to. Even one hour is valuable to our kids. § We need help Friday night at football games. We need volunteers to help in the concession stand. § This is the busiest time for our kids. Help is VERY appreciated. § Please give us your email address. We need this for updates, sign-ups etc. § Band Parent meeting is the first Monday of each month.
o Cavalcade § 16 bands have already signed up. The cap for number of bands is 20. § WDHS competes as exhibition for our home show. § There are 2 competitions WDHS competes in: USSBA and TOB. We primarily compete in TOB. USSBA is what we host at our Cavalcade. § There is usually a big turnout for the cavalcade. § Need a lot of volunteers for cavalcade - tickets, water gram, candy grams, parking, basket auction. § Sign-up sheets for cavalcade are being sent around. § Things to sell at the cavalcade: · Buttons – need volunteer to put them together – one of the parents volunteered at the meeting · Braids – Terri Wallowich volunteered her girl scout troop to make the braids. · Plastic band members – we have a volunteer for this · Beads and Shakers – Maria is working on putting these together. Maria can distribute beads and bottles at a practice if someone can help out. Another girl scout troop may volunteer. · Dee will check to see if we need to cut up 50/50 tickets. Jill Cullen will cut them up if needed. · Chapters o Schools nominate themselves for chapters. Mr. Kershaw believes we have a good chance at having chapters at our school on 11/2/08. o Chapters are the South Jersey region. There are 13 regions. We are in region 1. There are 13 or 14 bands. The top 25 bands go to ACC (Atlantic Coast). Chapters are on one day. We would like to have a break at the half way point to give the awards for the first half of the show. · Weekend of October 25th. o TOB will either be Sterling or Delaware. We will probably do the Delaware show. It is now on the website schedule. o We will probably do the Delaware show on Saturday and Deptford on Sunday. · Spring Band/Choir trip o Boston is a possible option. Other places are still being considered. · Notes from Mr. Kershaw o Need 2x4’s for props. If anyone know someplace to purchase them that may want to sponsor us (ad books etc). o Vacations, late, absent – please let Mr. Kershaw know so that plans can made. When the kids miss a show, there is no one to fill in. It is an empty spot on the field and does affect judges scores. o Attendance – There have been some attendance issues in the past. Please work with the kids to get them at the practices. The last week of August is excluded – as there will be lots of vacations. o Rehearsal during the school year is 6 pm to 9 pm. Please be there ready to start at 6 pm (usually around 5:45 pm). Kids are dismissed at 9 pm from the field. It will take them some time to put away equipment. · Motion to adjourn by Ms Cooney, seconded by Shannon.
